Document Automation: invoices and contracts that send themselves
Document Automation is a setup that makes your branded invoices, receipts, quotes and contracts as PDFs the moment a job is ready, and sends each one in its own branded email. From £399. Ready in 7 working days.
Why do invoices and contracts take so long to send?
Most owners make their paperwork by hand every time: open last month's file, change the name and numbers, save as PDF and write the same email. It is slow, and it is where wrong totals and duplicate numbers come from.
Accounting software helps with invoices, but contracts, receipts, statements and the emails around them still end up hand-made, in four different looks.
On GigXchange I could not afford that. One renderer makes every document the platform prints, from one set of designs, so it always looks right and nobody touches it.
Isn't my accounting software enough for invoices?
Accounting software makes invoices in its layout with your logo, but contracts, receipts and the emails around them stay hand-made. Document Automation makes every document in your brand from the job record and sends it automatically.
| A Word template | Accounting software alone | Document Automation | |
|---|---|---|---|
| Made by | You, after hours | You, one at a time or on a schedule | Your system, when the job is ready |
| Looks like | Whatever the last edit left | Their layout with your logo | Your brand, print-quality PDF |
| Totals | Typed by hand | Worked out for you | Worked out from the job record |
| Sent | When you remember | From inside the software | Automatically, in a branded email |
| Copy kept | Somewhere in Sent items | In the software | Filed and numbered in order |
What do you get with Document Automation?
Document Automation gives you an invoice, receipt, quote, statement and contract designed in your brand, filled from the job, numbered in order and sent in a branded email, with overdue reminders, a filed copy and a daily spending cap.
- 01
Your documents, designed
Invoice, receipt, quote, statement and contract designed once in your brand and printed as proper PDFs.
- 02
Filled from the job
Names, lines, totals and dates come from your booking system, shop or a simple spreadsheet - never retyped.
- 03
Numbered in order
Invoice and receipt numbers run in sequence with no gaps or repeats.
- 04
The emails that send them
A branded email for each document, with your company details in the footer.
- 05
Reminders
An overdue invoice gets a polite nudge on the days you choose.
- 06
A filed copy
Every document saved by month and type, so you can find last March's invoices in one click.
- 07
A spending cap
Each document type has a daily limit, so a fault cannot run up a bill.
What does an automated outbox look like?
A Document Automation outbox lists each document made that day - an invoice sent with the job summary, a receipt, a contract awaiting signature, an overdue reminder - with where its copy is filed and the next number. Here is a sample.
today's outbox
- INV-0412.pdf - sent with the job summary
- REC-0412.pdf - receipt, paid by card
- Contract - kitchen refit - awaiting signature
- Statement - October - all jobs
- Reminder - INV-0398 - 14 days overdue
- Quote Q-0127.pdf - valid 30 days
- Email: "Your invoice from Harper & Co"
- Copy filed: invoices/2026/10/
- Numbering: next is INV-0413

Is Document Automation worth it for my business?
Document Automation suits a business that sends 20 or more invoices, receipts or contracts a month, with job details already in a system or spreadsheet. If you send three invoices a month, your accounting software is enough.
A good fit if
- You send 20+ invoices, receipts or contracts a month
- Your job details already live in a system or spreadsheet
- You want every document to look like the same business
Not for you if
- You send three invoices a month - your accounting software is enough
- You need contract terms written - that is a solicitor
- Every job is priced and worded from scratch
Questions
07Asked and answered
Any document that is the same shape every time with different details: invoices, receipts, quotes, statements, contracts, booking confirmations and certificates are the usual ones. The package covers up to five documents and the emails that send them. On GigXchange one renderer prints invoices, receipts, statements, compliance checklists and flyers, with contracts made the same way, so the approach is proven on more than the basics.
Usually yes - the documents can be made from your booking system, shop or spreadsheet and the totals passed on to your accounts. Most popular accounting tools have an official way in for this, and we check yours in writing before you pay. If your accounting software already sends invoices well, we leave that part alone and automate the documents it does not make, such as contracts and statements.
A UK invoice needs a unique number, your business name and address, the customer's name and address, the date, what you supplied, the amount and, if you are VAT registered, the VAT details. The full list is in HMRC's guide to what an invoice must include. We build those fields in from the start, and the numbering runs in order so there are no gaps or repeats.
No - the terms come from you or your solicitor, and we make the document that carries them. We turn your terms into a template that fills in the parties, dates, prices and job details, then prints a clean PDF ready to sign. If your terms change, you send the new wording and the template is updated in one place, so an old version cannot be sent by mistake.
Setup is a one-off £399, and running costs are usually small because each document is made only when it is needed. It runs on your own account with the hosting provider, so any bill comes to you directly with nothing marked up. Each document type has a daily cap, the same rule GigXchange uses. For caps across all your cloud and AI bills, see Cloud Cost Controls.
For the first two weeks every document waits for your approval before it is sent, so you see the real ones before the system sends alone. After that, a mistake comes from the data, not the template - so we fix it at the source and every later document is right. A wrong invoice is cancelled with a credit note under its own number, never deleted, so your records stay straight.
A limited company must show its name on all its documents, and its company number, place of registration and registered office address on business letters, order forms and websites. The rules are in the government guide to company signs and stationery. We put them in the footer of every document and email once, so they are never left off - GigXchange does the same on every outreach email. Sole traders have lighter rules, and we follow those instead.
Yes - once your email design exists, any message that follows a pattern can use it: booking confirmations, appointment reminders, review requests. GigXchange keeps 43 designed email templates in one folder, so this is well-worn ground. If you also want to win new business by email, Compliant Outbound uses the same footer and design. For jobs that run on their own overnight, such as chasing follow-ups, see Autonomous Agent Operations.
