GDPR Compliance Kit: answer a data request without the panic
The GDPR Compliance Kit is a working "send me my data" and "delete me" flow on your site, plus a data map, retention rules, a processor list and a breach log. From £349. Ready in 5 working days.
What happens if a customer asks for their data?
A customer asking for their data starts a one-calendar-month clock under UK GDPR. Most small firms have a privacy policy copied from somewhere and no plan for that request, and the clock does not wait for you to find the email.
The paperwork side is just as thin. Nobody has written down what data they hold, how long they keep it, or which suppliers touch it - so a complaint or a leak turns into a week of guessing.
I built this for GigXchange because a marketplace gets these requests for real. The kit is that system, cut down to what a small business needs and set up around your data.
Is a GDPR template pack enough for a small business?
A GDPR template pack gives you blank forms and leaves the request in your inbox. The GDPR Compliance Kit puts a form on your site, confirms the person by a single-use email link, logs the due date and builds a readable report.
| Deal with it when it happens | A template pack | GDPR Compliance Kit | |
|---|---|---|---|
| A request arrives | An email you find a week later | Your inbox | A form on your site |
| Proving it is them | Guesswork | Up to you | A single-use email link |
| The one-month clock | Easy to miss | A note in your diary | Logged with its due date |
| What they receive | Whatever you can dig out | A letter you write by hand | A readable report plus the raw files |
| If data leaks | Nothing written down | A blank form | A log and the 72-hour steps |
What does the GDPR Compliance Kit include?
The GDPR Compliance Kit gives you a data map, retention rules, a "send me my data" flow, a "delete me" flow with a grace period, a breach log, a processor list and plain-English notes for the requests the flow cannot handle.
- 01
A data map
Every kind of personal data you hold, why you hold it, where it lives and who else sees it - the record the ICO expects you to keep.
- 02
Retention rules
How long each kind of record is kept and what happens when the time is up, written so you can follow them.
- 03
A "send me my data" flow
A form on your site. The person confirms from a single-use email link, the request is logged with its due date, and you are told.
- 04
A "delete me" flow
A confirm-by-email deletion request with a grace period, so a mistaken click can be undone.
- 05
A breach log
A register for every incident, reported or not, and the steps for telling the ICO within 72 hours when you must.
- 06
A processor list
Every supplier that handles personal data for you, with a link to their data processing agreement (the contract that says what they may do with it).
- 07
Plain-English notes
What to do when a request arrives that the flow cannot handle, such as a correction or an objection.
What files and pages does the kit leave me with?
The GDPR Compliance Kit hands over a privacy folder with your data map, retention rules, breach log and processor list, plus the request form and deletion page on your site and the report a person receives. Here is a sample.
your privacy folder
- data-map.xlsx - what you hold and why
- retention-rules.pdf
- breach-log.xlsx
- processors.xlsx - who handles data for you
- legitimate-interests.pdf
- /your-data - the request form
- confirm-link email - single use, 24 hours
- data-report.pdf - the human-readable export
- export.zip - one CSV per section
- /delete-account - with a grace period
- 19processing activities in the data map
- 50sections in a full data export
- 4export formats: report, JSON, CSV, archive

How long does it take to set up the GDPR Compliance Kit?
The GDPR Compliance Kit is ready in five working days. Day one is a one-hour call, days two and three write the records, days three and four add the pages to your site, and day five runs a real request end to end.
- 01
Day 1
Map
A one-hour call and a short form: what you collect, where it lives, which suppliers touch it.
- 02
Days 2-3
Write
Data map, retention rules, breach log and processor list drafted. You check them against how you actually work.
- 03
Days 3-4
Build
The request and deletion pages added to your site, with their emails.
- 04
Day 5
Test
A real request run end to end, then handed over with a one-page "what to do when" sheet.
Is the GDPR Compliance Kit right for my business?
The GDPR Compliance Kit suits any business holding customer or staff details in a site, a till or a spreadsheet, with a website it can add a page to. It is the wrong buy if you need advice on a live complaint.
A good fit if
- You hold customer or staff details anywhere - a site, a till, a spreadsheet
- You have a website you can add a page to
- You want to answer a request calmly, not in a panic
Not for you if
- You need advice on a live complaint - that is a solicitor
- You process health or criminal records data at scale
- You want a policy to file away and never use

It includes a data map, retention rules, a breach log, a processor list and two working flows on your site: one for people asking for their data and one for people asking to be deleted. The documents are written around your business, not a template with your name dropped in. The flows send a single-use confirmation link, log each request with its due date and tell you it has arrived. It is a one-off £349 and takes 5 working days.
Yes - UK GDPR applies to any business that handles personal data, whatever its size. If you keep customer names and emails, staff records or CCTV, you are covered. Most small firms also owe the ICO an annual data protection fee, which is a separate thing from this kit. Size changes how much paperwork is sensible, not whether the rules apply - which is why the kit stays small and practical.
You have one calendar month from the day you receive it, under the right of access. You can extend in limited cases, but you still have to reply inside the month to say so. The flow logs every request with its due date, so the deadline lives somewhere other than your memory. On GigXchange the confirmation email tells the person the date too, which cuts down the chasing.
Nothing is released until the person clicks a single-use link sent to the email address on your records. The link expires after 24 hours. The form gives the same reply whether or not the address is known to you, so nobody can use it to find out who your customers are. The export also leaves out other people's details - a counterparty appears by name only, never with their email or phone.
The request flow still works - it confirms the person, logs the request and starts the clock. The export is then gathered by you from a checklist we write, listing every place their data might be. A fully automatic export needs your data in a system we can query, such as a booking or shop platform. Ask before you buy and we tell you which applies, in writing.
You record it in the breach log, judge the risk to the people affected, and if it is likely to harm them you report it to the ICO within 72 hours of finding out. The log keeps every incident, including the ones you decide not to report, because you may have to show your reasoning later. For the wider "the site is down, the laptop is stolen" plans, see the Incident & Continuity Plan.
No - it is a working system and a set of records, built by someone who runs them on a live marketplace. It covers what a typical small business needs to meet its everyday duties. If you are facing a complaint, a dispute or an unusual kind of data, you need a solicitor, and the kit gives them a clear picture to start from, which usually makes their time cheaper.
This kit is about your duties to people: knowing what you hold, answering requests and keeping a breach log. A Database Security Audit is about the locks: making sure nobody can read records they should not. If your business runs on its own app or customer database, you probably want both. If your data lives in spreadsheets and an off-the-shelf tool, this kit alone is the sensible start.
